Flight Booking Policy

Clients are responsible for booking their own flights. Due to airline restrictions and limited agent access to certain flight records, we are unable to directly manage or modify flights booked on behalf of clients if changes, delays, or cancellations occur.

To support our clients, we are happy to:

• Research the best flight options based on your preferred airport, dates, and budget

• Provide recommended itineraries and pricing quotes

• Advise on optimal flight times, layovers, and airline choices

Once flight recommendations are provided, the client must complete the flight purchase directly with the airline or booking platform. This ensures clients have full access to their reservation and can work directly with the airline should any changes be required.

Southern Vibes Travels is not responsible for airline schedule changes, delays, cancellations, or fees associated with flight bookings.

Car Rental Policy

Clients choosing to rent a vehicle as part of their travel arrangements must meet all rental requirements set by the car rental provider.

To rent a vehicle, the client must:

• Be of legal car rental age as required by the rental company

• Possess a valid driver’s license at the time of rental

• Have their own active car insurance coverage or purchase coverage directly through the rental provider

Clients are solely responsible for:

• Any damages, accidents, violations, or fees incurred during the rental period

• Fuel charges, tolls, parking fees, and traffic citations

• Reviewing and agreeing to all rental company terms and conditions at pickup

Southern Vibes Travels does not assume responsibility for rental vehicle condition, insurance coverage decisions, accidents, or disputes between the client and the rental provider.

Tours & Excursions Policy

Southern Vibes Travels may assist clients with researching, recommending, and booking tours and excursions offered by third-party providers. Participation in any tour or excursion is voluntary and subject to the terms and conditions of the individual provider.

Booking & Availability

• All tours and excursions are subject to availability and provider confirmation.

• Prices, schedules, and inclusions may change without notice.

• Some excursions may require minimum age limits, physical ability, or health considerations.

Payment & Cancellations

• Payment for tours and excursions may be required in advance.

• Cancellation and refund policies are set by the tour or excursion provider.

• No refunds are guaranteed for missed tours due to late arrival, transportation delays, or personal choice.

Client Responsibility
Clients are responsible for:

• Arriving on time at the designated meeting location

• Following all safety instructions and rules provided by tour operators

• Disclosing any medical conditions, mobility concerns, or limitations prior to booking

• Wearing appropriate attire and using required safety equipment

Assumption of Risk
Tours and excursions may involve physical activity, outdoor conditions, or inherent risks. By participating, clients acknowledge and accept full responsibility for their safety and well-being.

Liability Disclaimer
Southern Vibes Travels is not responsible for:

• Injuries, accidents, losses, or damages occurring during tours or excursions

• Acts, errors, or omissions of third-party tour providers

• Weather-related cancellations, route changes, or service disruptions

All agreements for tours and excursions are between the client and the service provider.

Travel Insurance
Clients are strongly encouraged to purchase travel insurance that includes coverage for excursions, activities, injuries, and cancellations.

Specialty Rentals Policy (ATVs, Yachts, Jet Skis & Similar Equipment)

Southern Vibes Travels  may assist clients with researching and recommending specialty rentals, including but not limited to ATVs, yachts, jet skis, boats, and other recreational equipment. All specialty rentals are provided by third-party vendors and are subject to the vendor’s individual terms and conditions.

Eligibility & Requirements
Clients must:

• Meet all age, licensing, and certification requirements set by the rental provider

• Present valid government-issued identification when required

• Comply with all local laws, safety regulations, and provider rules

Payment & Booking

• Payment may be required in advance and is subject to vendor policies.

• Security deposits may be required directly by the rental provider.

• Pricing, availability, and rental terms may change without notice.

Client Responsibility
Clients are solely responsible for:

• Proper and safe use of rented equipment

• Any damages, losses, accidents, injuries, or violations incurred during the rental period

• Fuel costs, docking fees, cleaning fees, late returns, and penalties

• Adhering to all safety briefings and instructions provided by the vendor

Assumption of Risk
Specialty rentals involve inherent risks. By participating, clients voluntarily assume all risks associated with the activity, including injury, property damage, or loss.

Liability Disclaimer
Southern Vibes Travels is not responsible for:

• Accidents, injuries, deaths, or damages related to specialty rentals

• Mechanical failures or equipment condition

• Acts, omissions, or negligence of third-party rental providers

All rental agreements are strictly between the client and the rental provider.

Insurance Recommendation
Clients are strongly encouraged to purchase or verify adequate insurance coverage offered by the rental provider or through personal policies before participating.
