These Terms & Conditions govern all services provided by Southern Vibes Travels / Southern Vibes Traveling Club ("we," "us," or "our"). By booking, requesting services, or participating in travel arrangements, you agree to the terms outlined below.

1. Role of the Travel Agency

We act solely as a travel advisor and booking agent. We arrange travel services offered by third-party suppliers, including but not limited to airlines, hotels, resorts, cruise lines, tour operators, transportation providers, and vacation rental hosts.

We are not responsible for the acts, errors, omissions, delays, injuries, losses, or failures of any third-party suppliers.

2. Consultations & Services

• All consultations are free unless otherwise stated.

• Planning, booking, and advisory services begin only after payment is received (if applicable).

• Service fees are separate from supplier costs and may be non-refundable once planning begins.

3. Payments & Pricing

• Prices are subject to change until paid in full.

• A deposit or full payment may be required to secure reservations.

• You are responsible for all payments by supplier deadlines.

• Failure to submit payment on time may result in cancellation or loss of reservation.

4. Cancellations, Changes & Refunds

• Cancellation and refund policies are set by individual suppliers.

• The agency does not control supplier refund decisions.

• Changes to bookings may incur additional fees.

• No refunds will be issued for missed flights, unused services, or voluntary cancellations.

5. Travel Documents & Responsibilities

Clients are responsible for:

• Valid passports, visas, identification, and travel documents

• Meeting entry requirements for destinations

• Verifying accuracy of booking details upon receipt

We are not liable for issues arising from incorrect or incomplete documentation.

6. Health, Safety & Risk Acknowledgment

• Travel involves inherent risks, including illness, injury, or disruptions.

• Clients assume responsibility for personal health and safety during travel.

• Travel insurance is strongly recommended.

7. Travel Insurance

We recommend purchasing comprehensive travel insurance covering trip cancellation, medical expenses, delays, and emergencies. Declining insurance releases the agency from related liabilities.

8. Force Majeure

We are not responsible for events beyond our control, including but not limited to natural disasters, pandemics, strikes, government actions, weather conditions, or supplier shutdowns.

9. Code of Conduct

Clients must comply with all supplier rules, local laws, and our Code of Conduct. Violations may result in removal from travel arrangements without refund.

10. Limitation of Liability

Our liability is limited to the amount of fees paid directly to the agency. We are not liable for indirect, incidental, or consequential damages.

11. Indemnification

You agree to indemnify and hold harmless the agency from claims, damages, losses, or expenses arising from your actions or omissions during travel.

12. Media & Photography

By participating in trips, you grant permission for photos or videos to be used for promotional purposes unless you opt out in writing.

13. Governing Law

These Terms & Conditions are governed by the laws of the state in which the agency is registered.

14. Modifications

We reserve the right to update these Terms & Conditions at any time. Continued use of services constitutes acceptance of updates.

15. Acknowledgment

By booking or participating in travel services, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
